LOCKTERA Event Privacy Notice

This Notice supplements our general Locktera Privacy Notice and explains how Locktera Inc. and its subsidiaries and affiliates (collectively “Locktera”, “we”, “us”, and “our”) collect, share, and use personal information in connection with any events we participate in or sponsor, including trade shows, webinars, seminars, virtual events, conferences, and any associated websites, social media features, or mobile applications (collectively, the “Events”).

What personal information does Locktera collect and why?

Personal Information You Provide

We may collect certain personal information that you voluntarily provide when registering for or attending an Event, allowing us to scan your Event badge, filling out a survey, entering a contest, or submitting your contact information. At the time we request your personal information, we will clearly explain the types of personal information being collected and the reasons for its collection. This may include the following types of personal information:

Identifiers and Professional or Job-Related Information

This may include the following:

  • Personal Identifiers: Such as your name, job title, gender, and other biographical details.
  • Contact Information: Including your address, email address, phone number, and details for online chat or social media accounts.
  • Profile Picture: If you choose to upload one.
  • Professional Information: Such as your company, industry, role, and job title.
Purpose of Collection and Use of Your Job-Related Information
  • To create your account and set up your Event profile.
  • To register you for the specific Event.
  • To facilitate and deliver the Event experience.
  • To communicate with you regarding Event details, including pre- and post-Event updates.
  • To create and share biographies of speakers or attendees, distributing them to relevant participants.
  • To share your information with Event sponsors, co-sponsors, or partners.
  • To analyze attendance and interactions, allowing us to assess Event success and identify participation trends.

Customer Records / Account Registration Information

This may include the following:

  • Personal Identifiers: As mentioned earlier, such as your name and contact details.
  • Payment Information: Including your credit card details for processing transactions.

This may include the following:

  • Gender Identity

  • Gender is processed for the purposes outlined under “Identifiers” above.

Some of the information you voluntarily provide when registering for an Event may be classified as sensitive or fall under special categories of personal information according to applicable data protection laws. Where required by law, we will obtain your explicit consent for collecting and using such information.

Certain Events may be co-sponsored or organized in collaboration with other companies that are not directly controlled by Locktera. In these cases, either we or the Event host/organizer will disclose the names of the sponsor(s) or partner(s) and provide links to their respective privacy notices at the time your personal information is collected or, if not available during registration, before the Event begins. When attending any Locktera-hosted Event where Locktera is not the sole provider, you should review the privacy practices of other participating organizations and carefully read any privacy notices and disclosures provided to you.

Personal Information We Collect Automatically

We may also automatically collect certain information about you or your device when you engage with Event platforms, online forums, communications, download content, or participate in sessions that are filmed or recorded. This may include the following types of personal information:

Audio, Visual, and Electronic Information

This includes information captured through photographs, recordings, live streaming during the Event, or CCTV footage if the Event is hosted at our premises, which may be reproduced across various media.

Purpose of Collection and Use of Your Audio, Visual, and Electronic Information

We may film, photograph, or otherwise record the Event and publish or reproduce such content on our website, social media accounts, and other platforms where obtaining your specific consent is not necessary, appropriate, or feasible. For example, we may seek specific consent for prominent or impactful uses, or if the content includes information that is considered “sensitive” under applicable data protection laws.

Internet and Electronic Network Activity Information, and Geolocation Data

This may include:

  • Technical Information: Such as your IP address, device type, unique device identifiers, and browser type.
  • Geographic Location: Broad location data (e.g., country or city-level).
  • Usage Data: Information about your online activity, including referring websites, visit times, pages viewed, links clicked, and content downloaded.

Purpose of Collection and Use of Your Internet and Electronic Network Activity Information, and Geolocation Data

To manage the Event’s online platforms and support internal operations, including troubleshooting, data analysis, and statistical and survey-related activities.

Personal Information We Collect from Other Sources

If you have registered for an Event through our partners or co-sponsors, they may share certain information about you (such as your business contact information), which we will use for the purposes outlined in this Notice. We may also collect information about you from publicly available sources, such as LinkedIn and other social media platforms.

Additionally, we may combine information collected through these methods with data we have gathered about you in other contexts (e.g., through your use of Locktera products or services). This helps us tailor our marketing and promotional efforts—such as identifying products, services, or Events that may be of interest to you.

In general, we will only use your personal information for the purposes specified in this Notice. However, we may also use your information for other purposes that are not incompatible with the disclosed purposes (such as in the public interest) when allowed by applicable data protection laws.

Who Does Locktera Share My Personal Information With?

We may share your personal information with:

  • Trusted business partners, Event presenters, agents, and service providers (including those offering accommodations, catering, IT, webinar, and other support services) when necessary for them to fulfill their roles.
  • Financial service providers who process payments on our behalf.
  • Co-sponsors or Event partners involved in the delivery of the Event.
  • Relevant professional bodies or institutions when membership or affiliation affects your eligibility (or fees) for attending the Event.
  • Our affiliates, so they can use your information for the purposes described in this Notice.

In addition, if you choose to share content and other information (such as your account profile) through the Event (e.g., using social networking features or creating public profiles), you acknowledge that other attendees, sponsors, partners, or Event users may have access to this information.

How Does Locktera Keep My Personal Information Secure?

Locktera takes all reasonable steps to protect your personal information and to prevent loss, misuse, unauthorized access, disclosure, alteration, or destruction.

International Data Transfersion Secure?

Locktera and many of its Events are based in the United States and other international locations. Therefore, your personal information may be transferred to and processed in countries outside of your place of residence. However, we implement appropriate safeguards to ensure your personal information remains protected as described in this Notice. Data Retention

We retain personal information only as long as necessary to deliver the Event or fulfill the purposes outlined above, or as long as we have an ongoing legitimate business need (e.g., to provide requested services or comply with legal requirements). You have several privacy rights, detailed in the Locktera Privacy Notice under the sections “Your Information Choices and Changes,” “California Users,” and “Your Privacy Rights.”

Legal Basis for Processing

Locktera Inc. is the data controller of your personal information unless one of our affiliates is running a local Event, in which case this will be clearly communicated at the point of data collection.

Our legal basis for processing your personal information will depend on the context and jurisdiction. Typically, we process personal information when:

  • We have your consent.
  • It is necessary for the performance of a contract.
  • It is in our legitimate interests (e.g., improving our Events, managing relationships, conducting sales and marketing activities), unless overridden by your data protection rights.
  • We are legally obligated to do so.
